MakeShift EdTech LLC (“CheckIn AI,” “we,” “our,” or “us”) is committed to protecting your privacy and security. We created this Privacy Policy because we know that you care about how information you provide to us is used and shared. This Privacy Policy relates to the information collection and use practices of CheckIn AI in connection with our services, which are made available to you through our website (our “Site”) and application (collectively, the “Service”).

We are committed to complying with the Children’s Online Privacy Protection Act of 1998 (“COPPA”) and the Family Educational Rights and Privacy Act (“FERPA”). COPPA requires us to inform parents and legal guardians about our information collection and use practices. COPPA also requires that we obtain parental consent before we allow children under the age of 13 to access and/or use our Service. FERPA requires us to protect the privacy of student education records and to limit the disclosure of personally identifiable information contained in those records to authorized parties, consistent with federal law.

By visiting our Site or using our Service, or by permitting your child to use or access our Service, you agree to the collection and use of information in accordance with this Privacy Policy.

Additional Definitions

  • Account: A unique teacher account created to access our Service.
  • Device: Any device capable of accessing the Service, such as a computer, tablet, or phone.
  • Personal Data: Information that identifies or can identify an individual.
  • Parent: A child’s parent or legal guardian.
  • Student: A child who uses the Service under the supervision of a teacher or parent.
  • Usage Data: Information collected automatically during Service use.
  • User: Any teacher, student, or parent who uses the Service.

Information We Collect

Teacher Accounts
Only teachers may create an Account. When registering, we collect:

  • First and last name
  • Email address
  • (Optional) School/organization name
  • (Optional) Google profile avatar (if you log in with Google)

We use this information to authenticate Users, personalize the Service, and provide access. We never share teacher Personal Data with any third-party artificial intelligence service.

Student Data

  • Students may not create Accounts.
  • Students provide only a first name so teachers can identify their responses.
  • No other Personal Data is collected.
  • All Student interactions with the Service AI are anonymized. No Student Personal Data is shared with third-party AI providers or any other third parties.
  • Student Personal Data is never publicly released or published.

If we learn that a Student has provided additional Personal Data beyond what is required for the Service, we delete it promptly.

Parental and School Rights: Parents and schools may contact us at support@checkin-ai.com to request review, deletion, or refusal of further use of Student Personal Data at any time. We take commercially reasonable steps to verify the identity of anyone requesting information about a Student to confirm they are the Student’s Parent or legal guardian.

Educational Purpose Limitation: All Student Personal Data is used solely to provide the educational Service. It is never used for marketing, advertising, or unrelated commercial purposes.

School Consent: When schools use the Service, the school or teacher provides consent on behalf of Parents for the limited collection and use of Student Personal Data for educational purposes.

Teacher-Generated Content
When teachers create CheckIns or preview conversations with the Service AI, we collect that content to deliver the Service. It is stored and used for educational purposes only.

Student-Generated Content
When Students respond to CheckIns, we collect their responses so teachers can review and assess them. These responses:

  • May qualify as education records.
  • Are accessible only to the teacher and the school that assigned the CheckIn.
  • Are never shared or sold.

Are not used to train Service AI models. We act as a school official with a legitimate educational interest, processing Student Personal Data only on behalf of the school or educator.

Usage Data
We automatically collect general information about how Users interact with the Service, such as:

  • Features accessed
  • Pages visited
  • Time spent in the app

We use this Usage Data to improve performance, usability, and technical support.

Technical Data
We collect limited technical data such as:

  • IP address
  • Browser type/version
  • Device type and operating system

We use this information to maintain security and ensure compatibility across Devices.

How We Use Data
We use collected information to:

  • Provide and maintain the Service.
  • Authenticate and manage teacher Accounts.
  • Display and organize Student responses for teachers.
  • Improve performance, security, and reliability of the Site and the Service.
  • Send important updates about the Service. (You may unsubscribe from non-essential communications)

We do not sell or use data for marketing purposes.

Third-Party Services

All service providers are bound to use Student Personal Data only for purposes authorized by the school and to return or destroy data when the service ends.

Supabase (Database, Authentication, Storage)
We use Supabase, Inc. to host our database and manage authentication. We have a Data Processing Addendum (DPA) with Supabase that prohibits them from selling or using Personal Data for any purpose other than providing their services to us. Supabase processes Personal Data only on our instructions and implements industry-standard security measures.

Amazon SES (Email Delivery)
We use Amazon Simple Email Service (SES) to send emails (such as account confirmation and password resets). We do not send any Student Personal Data to Amazon. SES acts only as a delivery provider. We have not engaged it to use or sell Personal Data for marketing or other purposes.

Netlify (Hosting)
We use Netlify to host our Service. Netlify processes Personal Data only to provide hosting and infrastructure services, and does not use Student Personal Data for any secondary purposes.

AI Providers (OpenAI)
We use AI services to generate CheckIn interactions. Student responses are anonymized before being sent, and we configure our usage to ensure data is not used to train Service AI models. Providers may briefly retain technical logs for security, but no identifiable Student Personal Data is included.

Cookies and Tracking Technologies
We use cookies to:

  • Authenticate User logins
  • Remember teacher preferences
  • Improve website performance

You can manage cookies in your browser settings, but some features of the Service and the Site may not function correctly without them.

Data Retention

  • We retain Personal Data only as long as necessary to fulfill the educational purpose for which it was collected.
  • Teacher Account information is retained while the Account is active.
  • Student responses are stored only for as long as the teacher or school chooses to keep them. Teachers may delete responses at any time.
  • Parents and schools may request deletion of Student responses at any time by contacting us at support@checkin-ai.com.
  • Student responses will also be deleted upon Account termination.
  • Usage Data and technical data are retained only as long as needed for analytics and security.

Data Transfers
Some service providers may process Personal Data in locations outside your state or country. When we transfer Personal Data internationally, we ensure that proper safeguards are in place. These include contractual data-protection agreements or other legal protections.

Legal Disclosures
We may disclose Personal Data when required by law, such as in response to a court order or government request. We may also disclose limited Student Personal Data if there is a health or safety emergency and disclosure is necessary to protect a Student or another person.

Security
We take the protection of your Personal Data seriously. We use modern security practices to safeguard Personal Data. We aim to keep our systems continuously safe and reliable. We rely on partners who undergo independent audits to confirm their protections meet our standards. We maintain a written information-security program that includes regular risk assessments, vendor reviews, and testing of safeguards. While no online system can ever guarantee absolute security, we are committed to taking every commercially reasonable step to protect your information and to strengthen our safeguards over time.

Children’s Privacy

  • Accounts for children under 13 are not permitted, and we do not knowingly create such accounts.
  • Students provide only their first name when completing a CheckIn. If you believe a child has submitted other Personal Data or created an Account, please contact us at info@checkin-ai.com, and we will delete it promptly.
  • Educators and schools act on behalf of Parents in giving consent when the Service is used in class. Parents have the right to review their child’s responses, request deletion, and refuse further use of their child’s Personal Data by contacting support@checkin-ai.com.

Changes to this Policy
We may update this Privacy Policy from time to time. The updated version will be posted here with a new “Last Updated” date. Continued use of the Service or the Site means you accept the updated version.
